TITLE: Administrative Assistant
REQUIREMENTS: Bachelor’s Degree in Administration and 2 years of experience as Administrative Assistant.
SPECIAL REQUIREMENTS: Has Knowledge in the technological applications of daily use in the company. (Proceries, Hub Spot, Stripe). Knowledge of the process of creating companies in the United States in the states and in the IRS. Knowledge of the use of tools such as printer and different computer systems. Management of the Spanish language since our company handles a high rate of clients in Spanish and handles the language in English. The employee has the knowledge and technical skills and knowledge of the processes carried out in the company.
JOB DUTIES: Ability to multitask; Capacity to work under pressure; An enthusiastic, outgoing, and team-oriented personality; Outstanding communication skills; Work directly with the owner to support all aspects of his daily work routine; Serve as a liaison between staff and the public IN English and Spanish. This includes receiving and screening the phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution; Coordinate work with other personnel as needed; play a key role in coordinating the achievement of established goals; Assist in the planning of activities, goal setting and processes that include planning, admission, prioritization, initiation, execution of activities; Keep customer information updated through the Hub spot application; Keep the clients’ accounting updated through the QuickBooks application and send monthly information on their finances with the reports and requirements requested by the clients; Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material; Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries; Maintain confidential and sensitive information; Attention to clients sent by the agreement with the company Prospera giving advice on business creation, accounting and business plan in the Spanish language since the clients sent by Prospera are in support of the Hispanic community; During the tax season prepare personal business taxes through the Proceries software; Make the registration of new clients by preparing the service contract, creating the subscription through the Stripe application, creating the subscription and configuration in Quickbook with all the necessary information of the new client; Check monthly that each of the clients made the payment correctly.
